In Version 7, participants cannot enter meeting room unless host is present in meeting room

I am currently experiencing the following problem with Version 7:

If a host is NOT logged into the meeting room, and a participant tries to log in, the participant gets a message saying that the meeting has not yet started (though meeting started on 5/5/08).

If a host IS logged into the meeting room, and a participant tries to log in, s/he is able to enter with no problems.

I would like to set my meetings so that all participants can enter at any time, with or without a host being present. How do I do this?

New Version Has Three Access Settings

The new version of Adobe Connect has three access settings for meeting rooms; V.6.2 only had two. Check your access settings to be sure you have selected "anyone who has the URL may enter the room." Complete directions for editing meeting room information and settings (with pictures!) are located at http://meeting.psu.edu/editmeetings. You have to be a Host in the meeting room or the person who created the meeting room in order to edit the settings.

Any way to give 24/7 access to registered users only?

Thanks for your help with this. I changed my meeting setting to "anyone who has the URL may enter the room." Now participants can succesfully enter the room without a host being in the room. However, I would like my meeting rooms to be restricted to registered users and accepted guests only. Ideally, registered users and accepted guests would have 24/7 access to my meeting rooms, regardless of if a host is present in the room. Any way to do this?

Registered Users Should Be Able to Enter Anytime

Putting Attendees' names on the Participant List should accomplish what you want to do. Then you can select either of the other two access settings for the room. Attendees whose names are listed on the Participant List should have free access to the meeting room whether a Host is present or not. Meetings "End" When Host Leaves

Something else to remember is that if a Host enters a room and is the only Host in the room, then Attendees enter, then the Host leaves, the meeting will automatically end after about 15 minutes and the room will close until a Host re-enters.

This is a "feature" that Adobe thought would be a good thing for some inexplicable (in my opinion) reason.

Do ALL meetings end 15 min. after host leaves?

Do ALL meeting end 15 min. after a single host leaves? Is there any way to avoid this? Many of our meeting rooms are intended as 24/7 resource center (with downloadable materials, training information, etc.), and we want these meetings to always be open.

Meeting Stays Open As Long As No Host Enters

As far as I know, yes, all meetings end 15 minutes after the (last) Host leaves the room. Meetings stay open and are unaffected by this "quirk" (Adobe calls it a feature) as long a no Host(s) enters and leaves while other Attendees are in the room. The Host doesn't need to re-enter the room in order for the room to become available to Attendees again. If the meeting ends because the only Host has left the room, Attendees can simply close the meeting window, open a new browser window, and re-enter the room. Although it's somewhat inconvenient to have the meeting end 15 minutes after the (last) Host leaves, it doesn't have any permanent effect on the room.

Accessing Meetings\No Host Present

Here at Penn State HBG we use Adobe Connect for online writing tutoring. It is very important for students to be able to access the meeting room once it has ended. Even with the option selected "anyone who has access to the url" when the meeting was created, they cannot enter the meeting room once the meeting has ended. We even created a new meeting room and the same problem occurs. There is one host, (Writing Tutor) and one presenter, (Student). The presenter, (Student), cannot enter the meeting room once the host has left the meeting. Any suggestions?

RE: Accessing Meetings\No Host Present

There are two ways that participants can be blocked from entering a room. The most obvious is of course is when the meeting is set up and a permission other than "...anyone who has the URL.." is selected or , and often missed, is the subtle setting setting that is displayed when a meeting is ended. There is a check box with text "Lock the meeting after starting meeting" that is set by default. To "open" the room again the host must do the following:

1. Enter the meeting and from the Meeting menu select "End meeting"
2. At the second dialog screen that appears that says "The host has ended the meeting...." un-check the "Lock the meeting after starting." box.

This should make the room accessible. At least it explains why the room is all of a sudden "locked" from entry except for the host.

I have found that a more reliable way is to just "Exit Connect Pro" from the meeting menu and bypass the "End Meeting..." option entirely. The meeting will end, however, it will default to the setting that were established in the Meeting Information window.
